Power Apps Licensing for Guest Users

Inviting Guests to Access your Power App which has Premium Connectors

A pre-requisite of access to a Power App is to have a Microsoft Work or School user account. Microsoft users with Personal Accounts (for personal use, such as Outlook, Skype, etc.) will not be able to access a Power App.

Per User Licensing

  • You can allocate a PowerApps Premium license directly to each Guest, once you have onboarded them via Microsoft Entra.
  • Share your Power App with them directly in Power Apps.
  • Remember that they will also need Permissions for any associated Data Sources – a good rule of thumb is to create an Access Group via Microsoft Entra and add Guest Users as required.

Per App Licensing

  • Purchase Per App Licenses for any Power App – also referred to as “App Passes” – in Microsoft Admin.
  • In the Power Platform Admin Center, navigate to Resources>Capacity>Add-Ons, where you can administer your purchased “App Passes”.
  • In your Power App Settings (from the Power Apps Home Page), set “Auto Assign App Passes” to Yes.
  • From that moment, Guest users accessing that specific Power App will be allocated an App Pass – as a Guest leaves the App, the App Pass is placed back in the Pool – it’s a concurrent license scheme.
  • Share your Power App with them directly in Power Apps.
  • Remember that they will also need Permissions for any associated Data Sources – a good rule of thumb is to create an Access Group via Microsoft Entra and add Guest Users as required.
